Private practice management for consultants
Your private practice, run exactly.
Exactmed takes the administration off your desk. A senior, experienced PA runs your diary, patients and correspondence. Your fees go straight into your own bank account, and you keep full clinical independence.
What you get
Four things every practice needs. One team running them.
Most consultants piece these together from a part-time secretary, a mobile number, a software subscription and a billing firm. We bring them together, so nothing falls between suppliers.

How it works
Simple onboarding. No onboarding fee.
We do the setting up. You make one call, share a few details and agree how you like things run. Your PA guides you from there.
Discovery call
We learn how you practise: clinic locations, availability, hospitals and insurers.
Week 1Agree the details
Booking rules, response times, contact channels and how correspondence is handled.
Weeks 1–2Set-up and handover
Your software, phone and email are set up, and access to your billing partner is authorised. Any current PA hands over.
Weeks 2–3Live with your PA
Your senior PA takes over the day-to-day. Each month you receive one clear invoice.
OngoingFees
Fees that grow with your practice.
Our fee is based on the professional fees you actually collect, so it rises and falls with your income. Highly competitive rates, no onboarding fee, and concessionary rates for consultants new to private practice.

- Senior dedicated PA
- Patient enquiries, diary and follow-ups
- Clinic and theatre booking and hospital liaison
- Practice phone number and email

- Payment status tracked with your billing partner
How the fee works
One monthly invoice, excluding VAT
- 10% of professional fees actually collected that month
- £500 minimum management fee, only when 10% falls below it
- £250 fixed monthly package for software, email and telephone
- £0 onboarding fee
- Your billing partner is paid by you directly, never through us
What you would pay
The £500 minimum is not added to the 10%. The management fee is whichever is higher, then the £250 package is added. So the smallest monthly invoice is £750.
Examples exclude VAT and your billing partner’s own charges. Concessionary rates for consultants new to private practice are agreed individually.

|---|---|---|
| £3,000 | £500 minimum | £750 |
| £5,000 | £500 minimum | £750 |
| £10,000 | £1,000 10% | £1,250 |
| £20,000 | £2,000 10% | £2,250 |
How we work
Standards we hold ourselves to.
Paid directly to you
Insurers and patients pay into your chosen bank account. No intermediaries, and we never hold your fees.
Complete transparency
One monthly invoice that shows exactly how our fee was worked out. Your billing partner’s statements come straight to you.
Senior, experienced PAs
You and your patients deal with the same experienced PA. Not a call centre or a ticket queue.
Clinical independence
Clinical decisions, consent, indemnity and patient care stay with you. We never give patients medical advice.
Confidentiality first
Access to patient and billing information is agreed with you, documented in a data-processing agreement, and in place before we start.
Your data stays yours
Patient records and correspondence belong to you. If you leave, you take everything with you.
Questions
Common questions.
Does my money pass through Exactmed?
No. Insurers and self-pay patients pay directly into the bank account you choose. Billing and collection are handled by your own independent billing partner, through Healthcode, under a contract you hold with them. With your authorisation, we keep an eye on invoice and payment status so nothing is missed.
Does Exactmed do my billing?
No, and that is deliberate. You contract with and pay an independent billing and collection provider directly, so your money never passes through a middleman. We coordinate with them on your behalf.
How easy is it to reach my PA?
Very. Your PA is a senior, experienced professional you can reach by phone, email or message, through channels agreed with you at the start.
I’m new to private practice. Where do I start?
With the Starting out plan, offered at concessionary rates while you build your practice. We help you get your practice details, insurer recognition and systems in place, so you are ready from your first clinic.
Can I keep my current secretary?
Yes. We can work alongside your current PA, or take over with a structured handover.
How is the service priced?
One monthly invoice: 10% of the professional fees you actually collect that month, with a £500 minimum, plus a fixed £250 package for software and communications. There is no onboarding fee, all fees exclude VAT, and consultants new to private practice receive concessionary rates.
Is there a contract?
Yes. Before we start, you receive a formal Exactmed agreement and data-processing documentation to review and sign.
